To manage schedule aliases, select Manage Schedule Aliases from the Admin Controls menu. The Schedule Aliases window provides the administrator with the opportunity to define schedule aliases that are available to all users. Out-of-Office and PTO schedules have a field to set an alias. These aliases provide a way of distinguishing between various types of out-of-office and PTO events. The out-of-office and PTO schedules will also show up on the calendar color-coded according to the schedule alias.
o | Click on the Add New Schedule Alias button on the toolbar to bring up an add window. Just complete the provided fields and click on the Add Schedule Alias button. A limit of 500 schedule aliases can be defined at any one time. |
o | Double-click on the alias in the table to bring it up in an edit window. Make any applicable changes and click on the Save and Close button in the menu or toolbar. |
o | Select the alias you wish to delete and click the Delete button in the toolbar. The built-in default aliases cannot be deleted. |
When adding or editing a schedule alias, the following fields are available:
o | Enter the name of the alias. The name is what will show up in the alias lists. The name of the alias must be unique from any other alias. |
• | Is Out-of-Office/PTO alias |
o | This allows you to set whether the schedule alias will be an available option in an out-of-office and/or PTO schedule. You must select at least one of these options. You can select both if needed. |
o | This determines the color which is used to indicate an out-of-office/PTO schedule on the calendar. The Pick Color button provides access to the standard Windows color picker dialog. Any color can be used. |
